Final Policy: Lab/Podium Software Upgrades and Installation Requests 05/05/05

Enterprise Software:

 Information Technology reserves the right to upgrade and install Enterprise software based on the decision of the Director of Information Technology.  Enterprise software includes, but is not limited to, Microsoft Productivity Suites, Microsoft Operating Systems, and any software that falls under a University-wide site license.  Appropriate notice is to be sent to those impacted by the upgrade(s).  Training is to be offered and conducted the semester preceding the Enterprise software upgrade.  In some cases, the preceding semester may be the summer term. 

 Non-Enterprise Software:

Software upgrades of Non-Enterprise software or the installation of new Non-Enterprise software is by formal written request only.  Formal written requests must be received and confirmed by Information Technology during the specific designated timeframe.  Upon confirmation, persons requesting software upgrades or software installations must provide the necessary license information, software via CD or DVD media, and special installation/instructions to Information Technology by set date.  Information Technology notifies faculty and staff of pending software changes no earlier than one week and no later than two weeks after closing date of acceptance of software and upon completion of the requested upgrades.

 Information Technology reserves the right to deny installation or upgrade of software not properly licensed or having the potential of adversely affecting the overall integrity of any IT managed computer lab or smart classroom.

 

Recommended Procedure:

  • On predetermined dates, IT sends out notifications to faculty and staff the software upgrade or software installation request website is open for accepting software requests.

  •  Information Technology accepts requests for software upgrades or software installations for the upcoming semester until set date.
  • Information Technology notifies faculty and staff stating what software changes will be taking place no earlier than one week and no later than two weeks after closing date of acceptance of software.
  •  Requestor sends necessary license information, software via CD or DVD media and all knowledge of special software installations and/or instructions to Information Technology by set date.
  •  nformation Technology installs confirmed requested non-enterprise software.
  • Information Technology notifies faculty and staff upon completion of the required upgrades of IT managed computer lab’s and smart classroom.
  • At this time all who are teaching in an IT managed computer lab or smart classroom, tests their software and report any issues to Information Technology.

 

 Projected Timeline:

Fall Semester 2005

  • Email sent to Faculty/Staff giving notice of website availability – April 29, 2005

  • Software and special instructions received by IT – May 20, 2005

  • Email sent to Faculty/Staff stating confirmed software – June 6, 2005

  • Date to Upgrade Labs – August 15-19, 2005

  • Email sent to Faculty/Staff confirming installed software – August 22, 2005

 

Spring Semester 2006

  • Email sent to Faculty giving notice of website availability – October 31, 2005

  • Software and special instructions received by IT – November 21, 2005

  • Email sent to Faculty/Staff stating confirmed software – December 7, 2005

  • Date to Upgrade Labs – January 2–6, 2006

  • Email sent to Faculty/Staff confirming installed software – January 9, 2006
